Terms of Service
Last updated: November 8, 2026
These terms are a binding agreement between you and MailClubs. They govern your use of mailclubs.com, the directory, the MailClubs mail club and the member community. By using the site, opening an account or placing an order you agree to them. If you do not agree, do not use the site.
1. Who we are
MailClubs ("we", "us") is operated by Naveen Dhanapal, a sole proprietorship registered in India. Registered details are on the Contact & support page. The Privacy Policy and the Cancellation & Refund Policy form part of these terms.
2. What the service is
- The directory. A list of mail clubs and subscription boxes run by independent third parties. We do not make, sell or ship their mail.
- The MailClubs mail club. Our own club. We make and ship printed mail such as postcards, stickers and other printed products, as a recurring subscription or a one-time order, and run a community for members.
- Artist partnerships. We partner with independent artists and creators and feature their work in our mailings and on the site, to help them reach more people. Every featured work is credited to its creator.
We may change, suspend or discontinue any part of the service at any time. If we discontinue a subscription you have paid for, we will refund the unshipped part.
3. Eligibility and accounts
- You must be at least 18 years old and able to form a binding contract.
- You must give accurate information and keep it up to date, especially your shipping address.
- You are responsible for keeping your sign-in details safe and for everything done under your account. Tell us at once at postmaster@mailclubs.com if you suspect unauthorized use.
- We may refuse, suspend or close an account at our discretion, including accounts that are inactive for a long period.
- You agree that we may send notices, receipts and account messages to you by email.
4. Directory listings
- Listings are compiled from public sources and from details that club owners provide. We check them by hand but do not guarantee they are complete, current or accurate. Verify the price, cadence and shipping terms on the club's own site before you buy.
- Any purchase from a listed club is a contract between you and that club. We are not a party to it and are not responsible for the club's products, pricing, billing, delivery or conduct.
- No club has a right to be listed. We may add, edit, rank, decline or remove any listing at any time, for any reason, without notice.
- Rankings, "best" lists, editorial picks and AI tags reflect our opinion. We do not accept payment for placement. See section 5 for how listings are made and how to dispute a tag.
5. How listings are made, and the AI tag
- Sourcing. We research clubs by hand from publicly available information such as the club's own website, shop pages, social media and press. We do not have access to any club's private information, and we do not contact every club before listing it. Being listed does not mean a club has endorsed or partnered with MailClubs.
- The AI tag is our opinion. Where we believe a club may use AI image generation or other generative AI to create its artwork, we mark the listing with an AI tag. This tag is our honest opinion, formed in good faith from what is publicly visible, such as the style of the artwork, the club's own statements and tool disclosures. It is not a verified fact and not an accusation. A listing without the tag means we have not formed that opinion, not that we have verified the work is made by hand.
- What the tag does not say. The tag does not say that using AI is wrong, that the club's products are of lower quality, or that the club has misled anyone. It exists only to help readers who want to know, so they can ask the club directly.
- If we are wrong, tell us. If you run a club and believe the tag is mistaken, send an email to postmaster@mailclubs.com with something that shows how the work is made, such as process photos or videos, sketches, layered source files or a statement of the tools you use. Requests are accepted by email only. We will review it and reply within a maximum of 30 days, and remove or change the tag if we are satisfied. We may also note on the listing that the club has confirmed its process. We will gladly correct an error.
- Other corrections. The same applies to any other fact in a listing: email us with the correction and a source, and we will review and update it within a maximum of 30 days.
- Removal. A club may ask to have its listing removed by emailing us from an address at the club's own domain, or otherwise showing it speaks for the club. We will remove it within a maximum of 30 days, but we may keep factual references to the club in editorial content.
6. Club owners
If you claim or submit a listing for a club you run, you confirm that you are authorized to act for that club, that the details you give are accurate, and that you will keep them up to date. You grant us a worldwide, royalty-free licence to show your club's name, logo, images and description on the site and in our marketing. You agree to indemnify us for any claim that your listing is false, misleading or infringes anyone's rights.
7. Orders from the MailClubs mail club
- Your order is an offer. We accept it when we ship. We may refuse or cancel an order before shipping for any reason, including suspected fraud, a pricing or stock error, or an address we cannot ship to. If we cancel, we refund you in full.
- Pricing. Prices and any tax or shipping charges are shown at checkout. If a price on the site is obviously wrong, we may cancel the order and refund it rather than honour the wrong price.
- Payment. Payment is handled by the payment processor named on the checkout page, which issues your receipt. You confirm you are authorized to use the payment method.
- Contents. Each mailing is described on the product page. Designs, quantities and items may vary between mailings, and we may substitute an item of equal or greater value if one is unavailable.
- Promotions. Discount codes and promotions have the conditions shown with them, cannot be combined unless we say so, and may be withdrawn at any time.
- Gifts. If you buy for someone else, you are the customer. The recipient has no account rights unless they create an account.
8. Subscriptions and automatic renewal
- A subscription renews automatically at the interval and price shown at checkout, plus any applicable tax, until you cancel. By subscribing you authorize us to charge your payment method at each renewal.
- You can cancel at any time from your account or by emailing postmaster@mailclubs.com. Cancelling stops future renewals. It does not refund a renewal that has already been billed, except as set out in the Cancellation & Refund Policy.
- We will tell you by email before a renewal price changes. If you do not cancel before the change takes effect, the new price applies.
- If a renewal payment fails, we may retry it, pause shipments, or end the subscription.
9. Shipping and delivery
- We ship to the address you give at checkout. You are responsible for its accuracy. We are not responsible for mail sent to an address you entered incorrectly.
- Delivery dates are estimates. We are not liable for delays caused by postal services, customs or events outside our control.
- Risk of loss passes to you when we hand the mail to the postal service. Lost, damaged or wrong items are handled as set out in the Cancellation & Refund Policy.
- You are responsible for any customs duties, import taxes or local charges. If you refuse a delivery or do not pay such charges, we are not obliged to refund the order.
- We may decline to ship to countries or addresses we cannot serve reliably.
10. Community
- Members may get access to a community to talk with other members. Access is a benefit of membership, not a product, and ends when your membership ends.
- You must not harass or threaten anyone, post unlawful, hateful or sexually explicit content, share other people's personal information, spam or advertise without permission, impersonate anyone, or post other people's artwork without credit and permission.
- We may remove any content and suspend or remove any member at our discretion, with or without notice. We have no obligation to monitor the community, and removal for breaking these rules does not entitle you to a refund.
- You keep ownership of what you post. You grant us a worldwide, royalty-free, perpetual licence to show, store and reproduce it within the community and, where you make it public, on the site and in our marketing.
- Content posted by other members is their responsibility, not ours.
11. Intellectual property and artist work
- Our work. The MailClubs name, logo, site design, writing, data compilations and software belong to us. You may not use our name or logo without written permission.
- Artists' work. Artwork made by a partner artist stays the property of that artist. They keep their copyright. They grant us a licence to print it in our mailings and to show it on the site and in our marketing, with credit to them. We do not claim ownership of any artist's work and we do not sell or license it to anyone else without the artist's agreement.
- Attribution. Every featured work is credited to its creator on the printed item or its packaging, and on the site wherever the work appears.
- What you may do with what you buy. You may keep, display and gift the printed items you buy. You may not reproduce, scan, print or resell the designs, because they belong to the artists.
- Listed clubs. Names, logos and descriptions of clubs in the directory belong to those clubs, who grant us permission to show them.
- Reviews and submissions. You grant us a worldwide, royalty-free, perpetual, sublicensable licence to use, edit and show any review, suggestion, correction or image you submit, in any medium. You confirm you have the right to grant it.
- Feedback. If you send us ideas or suggestions, we may use them without any obligation or payment to you.
12. Copyright complaints
If you believe content on the site infringes your copyright, email postmaster@mailclubs.com with the work, where it appears on the site, your contact details and a statement that you own the rights or act for the owner. We will review and remove infringing content. We may end the accounts of repeat infringers.
13. Acceptable use
You must not:
- Scrape, crawl or copy the site or its data beyond what robots.txt allows, or use it to build a competing directory.
- Impersonate a person, club or MailClubs.
- Submit false listings, reviews, claims or orders.
- Interfere with the site's security or operation, or probe or test its vulnerabilities.
- Use the site for anything unlawful or to infringe anyone's rights.
14. Third parties
The site links to outside websites and runs on third-party infrastructure, including payment and postal services. We are not responsible for those sites or services, and a link is not an endorsement.
15. Disclaimers
The directory, the site and the community are provided "as is" and "as available". We make no warranty that they are accurate, complete, uninterrupted, secure or free of errors. Listing details, rankings and AI tags are compiled from public information and reflect our good-faith opinion at the time; they are not statements of verified fact. Products you buy from us are described on their product pages, and we make no other warranty about them. Nothing in these terms limits rights that consumer law gives you and that cannot be excluded.
16. Limitation of liability
To the fullest extent the law allows:
- We are not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, data or goodwill.
- We are not liable for the products, conduct or content of listed clubs, partner artists, community members or postal services.
- Our total liability to you for all claims is capped at the amount you paid us in the twelve months before the claim, or 1,000 Indian rupees, whichever is greater.
17. Indemnification
You agree to indemnify and hold us harmless from any claim, loss or expense, including reasonable legal fees, arising from your use of the site, your orders, content you submit, your breach of these terms, or your violation of any law or third-party right.
18. Termination
We may suspend or end your access, membership or orders at any time if you break these terms, without refund for the part of a membership you have used. You may close your account at any time. Closing your account does not refund orders already shipped. Sections 11 to 20 survive termination.
19. Disputes and governing law
- Contact us first. Most problems are fixed within 2 business days. You agree to try to resolve any dispute informally with us for 30 days before taking formal action.
- These terms are governed by the laws of India, without regard to conflict-of-law rules.
- Any dispute that is not resolved informally will be referred to arbitration by a sole arbitrator under the Arbitration and Conciliation Act, 1996, seated in Chennai, Tamil Nadu, in English. Either party may seek urgent relief from the courts of Chennai, which otherwise have exclusive jurisdiction.
- You agree to bring claims only in your own name and not as part of a class or representative action, where the law allows.
- Any claim must be brought within one year of the event giving rise to it, where the law allows.
- If you are a consumer in a country whose law gives you mandatory rights to use your local courts or law, those rights are not affected.
20. General
- Force majeure. We are not liable for failure or delay caused by events outside our reasonable control, including postal disruption, strikes, supplier failure, outages, natural disasters or government action.
- Assignment. We may transfer these terms to a successor business. You may not transfer your account or rights to anyone else.
- Entire agreement. These terms and the policies they refer to are the whole agreement between you and us about the service.
- Severability. If any part of these terms is unenforceable, the rest remains in force.
- No waiver. If we do not enforce a term, we can still enforce it later.
- Language. These terms are written in English. Any translation is for convenience only.
21. Changes
We may change these terms, and the policies they refer to, at any time when we consider it necessary, including to reflect changes in the law, in our services, in how we operate, or to correct errors. We do not need your consent to make a change. The date at the top shows when the terms last changed, and the current version on this page is the one that applies. Continued use of the site after a change means you accept it. If you do not agree with a change, stop using the site and, if you have a subscription, cancel it.
Material changes that affect subscription pricing, renewals or cancellation rights will be announced by email in advance to active subscribers, who may cancel before they take effect. Other changes take effect when posted.
